When Plus Accounting migrated to ActiveCampaign, it was initially only used by the marketing team. They were keen to increase the functionality of the platform and extend it to the whole company.
Bright Dials worked with the marketing team to educate and strategize on what ActiveCampaign could do. Identifying the key challenges within the organization and building the ideal customer journeys, they found the key challenges lay in the new business process. Lead data was collected manually, often on paper with emails missing, causing delays in following up with leads. Once a lead was at the proposal stage, there was no template in regular use and information was being missed.
The inefficiencies in this process created a lack of transparency for the business and once a lead became a client, similar challenges still applied; the onboarding process wasn’t centralized and different people were involved with the same tasks.
Bright Dials created a plan to optimize the whole process end to end using ActiveCampaign. From the initial lead data coming in, through to onboarding clients.
Bright Dials digitized the whole process based on the user journeys they had identified:
- They created custom-built automations at the right points to speed up the process
- Data is captured more accurately and more leads are converted faster
- Proposals are generated at the click of a button and messaging is controlled by marketing
- The method of onboarding clients is now centralized with less back and forth with the client, creating a smoother onboarding process
The time spent on this admin by the Accountants has pretty much disappeared and there is more transparency and reporting available to the business. The work Bright Dials has implemented saves the Plus Accounting team hundreds of hours every month. This time is now spent on billable work instead, which in turn is increasing profitability, but also spending more time with family and friends.
An Integrated Tech Stack
Bright Dials connected lead and deal information in ActiveCampaign with Calendly, PandaDoc, and Google Workspace using Integromat. They use Calendly to encourage leads to book in the initial call with Plus Accounting. ActiveCampaign automation follows up with both the lead and deal owner to push the deal through as quickly as possible.
Once the required services for the proposal have been captured in ActiveCampaign, a trigger to PandaDoc populates a proposal template. This is emailed to the potential client for signature.
Once the signature is completed in PandaDoc, they catch the deal status and update the relevant pipeline in ActiveCampaign, which in turn triggers the client onboarding process using Google Sheets.
